Sales Operations & Accounts Coordinator

PRIMARY FUNCTION

 

This high-impact, hybrid role is designed for a detail-oriented professional who can seamlessly pivot between proactive sales and rigorous administrative management. This role is key to assisting the flow of our sales department from processing orders & portal management to chasing arrears and driving outbound tele-sales growth.

SPECIFIC DUTIES & RESPONSIBILITIES

Key Responsibilities will include but are not limited to:

Sales Operations & Order Processing

  • Precision Processing: Manage all sales orders and credits with 100% accuracy.
  • DC Coordination: Oversee Distribution Centre (DC) orders to maintain optimal stock levels across all partners (e.g., Foodstuffs, Tasman, Punky, Woolworths).
  • Market Communication: Maintain and distribute weekly trade price lists, including updates on Kegs, Out-of-Stocks, and Seasonal releases.
  • Issue Resolution: Act as the first point of contact for logistical problems, resolving customer complaints regarding delivery or product issues with speed and professional courtesy.

Accounts Receivable & Onboarding

  • Customer Onboarding: Process new credit applications and accurately set up accounts in all company databases.
  • Collections: Proactively follow up on Accounts Receivable to ensure timely payments and healthy cash flow.
  • Database Hygiene: Maintain and update company databases to ensure customer details are always current.

Proactive Tele-Sales & Account Management

  • Growth Outreach: Engage with existing and potential customers via phone to increase sales, promote new products, share current promotions, and identify upsell opportunities.
  • Buyer Relations: Act as the main point of contact for buying teams, resolving order issues and maintaining strong professional relationships.
  • Lead Nurturing: Answer trade and consumer queries via Orders inbox in a timely, helpful manner.
  • Communication: Exceptional phone manner and the ability to represent Behemoth Brewing Company professionally to suppliers and customers.

Online & Promotional Support

  • Digital Maintenance: Update the trade sales portal and online stores, loading new products weekly and maintaining data for online sales reporting.
  • Strategic Admin: Assist the General Manager with promotional administration and tasks.

Logistics Admin

  • Inventory Flow: Follow (and assist as required) the transfer of brewed products into designated warehouses and understand stock replenishment.
  • Freight Oversite: Book transport with freight and courier companies; track shipments and resolve delays.
  • Stock Oversight: Work with Team Leaders to file Stock on Hand (SOH) reports, manage variances, and organize Proof of Delivery (POD) documents.
  • Physical Audits: Assist with multi-site stocktakes and submit claims for reimbursements/insurance where necessary.

General

  • Systems: Being proficient at using  Gmail, Google Docs, Google Sheets, Excel and ERP system
  • Brand Ambassador: A positive, courteous attitude; understanding that the craft beer community is small and reputation is everything.
  • Ad Hoc: Assisting Behemoth Management with any ad hoc duties required
  • Compliance: Following all of Behemoth company policies and standards at all times (e.g. timekeeping, professionalism, customer service)
  • Physical Ability: Must be willing and able to lift 20kg with ease and 65kg with assistance (keg handling).
  • Mobility: Willing and able to travel for business needs, including events, festivals, and brewery business.
